This role sits inside a team that relies on tight operational support, clear communication, and smooth daily execution to keep business moving forward. As an Operations Coordinator, you will directly partner with the founder, taking full ownership of calendar strategy, inbox management, complex travel, and leadership meeting preparation so executive focus remains on key business outcomes. You will work with clear standards, structured coaching, and a dedicated Success Manager behind you so you can do high-quality work and advance in your career.

Responsibilities
- Own and defend the founder's calendar across multiple time zones, proactively identifying scheduling conflicts and preserving uninterrupted blocks for deep work
- Triage a high-volume inbox daily, surfacing urgent items and drafting clear, professional replies in the founder's voice to keep communication moving smoothly
- Book and manage complex, multi-leg travel itineraries, remaining available to adjust arrangements and resolve flight changes in real time
- Run weekly leadership meeting prep by organizing agendas, distributing pre-read materials in advance, and driving post-meeting action items to completion
- Keep internal trackers and the CRM fully updated following every meeting, ensuring clear documentation of decisions and owner assignments
Qualifications
- Proven experience as an Operations Coordinator, Executive Assistant, or similar mid-level operational role supporting leadership (must-have)
- Demonstrated ability to manage complex calendar logistics seamlessly across multiple time zones (must-have)
- Strong capability to triage high-volume email traffic and draft accurate responses in an executive's distinct tone (must-have)
- Experience coordinating detailed multi-leg travel arrangements and handling unexpected itinerary changes (must-have)
- Exceptional written and verbal English communication skills with high attention to detail (must-have)
- Strong organizational discipline, maintaining accurate records and project trackers without needing constant reminders (must-have)
- Familiarity with workflow automation tools or modern CRM software preferred
